Unified Supplier Qualification Application

Important Notes
- Some tenders are electronic-only and may not allow support by an external office or agent.
- Pre-check includes reviewing tender instructions/specifications and contacting the procuring entity’s designated helpdesk or contact point.
- If multiple rounds of inquiries or extensive document review are required, we will quote separately.
- Our office does not negotiate tender terms or act as a business representative in negotiations.
- For tender-related support, our role is limited to paper-based submission handling and liaison support where permitted.
PROCESS
Support Flow for Tender-related Paper Submission
1. Online Meeting
We first confirm your company’s situation, qualification status, target tender, and support needs.
2. Agreement & Advance Payment
After agreement, we exchange the contract by PDF and request 50% of the service fee as an advance payment.
3. Tender Document Review
Both your company and our office review the tender instructions and confirm who prepares each document.
4. Confirmation with the Procuring Entity
Where necessary, our office contacts the procuring entity to confirm required documents and submission rules.
5. Document Preparation
Your company sends documents by email. Our office prints them and prepares documents handled on the Japan side.
6. Final Confirmation
We send the prepared tender package to your company by email for final review before submission.
7. Final Payment
Before submission, the remaining service fee and actual expenses, mainly postage, must be paid.
8. Paper Submission
After payment confirmation, our office mails the tender documents to the procuring entity.
9. Liaison After Submission
Our office handles basic communication as your liaison office and promptly informs your company of tender opening notices.
After Tender Opening
Once the procuring entity issues the tender opening result or further instructions, we will promptly notify your company.
After that point, direct communication between the procuring entity and your company is generally required. If additional support from our office is needed, we may provide auxiliary support after presenting a separate fee estimate.
